1. Overview
SummaryApp (“SummaryApp”, “we”, “us”) provides an iOS and web app that records or imports conversations and turns them into transcripts, summaries, answers and to-dos. This Privacy Policy applies to the SummaryApp apps and summaryapp.world. For the rules that govern using SummaryApp, see our Terms of Service.
Your recordings are private to your account and can be deleted at any time. We use your content to provide the Service to you — not to train our own general-purpose AI models, and we do not sell it.
2. Data we collect
Information you provide
- Account information — such as your name and email address when you sign up.
- Your content — recordings you make, audio, video and PDF files you import, and the transcripts, summaries, answers and to-dos generated from them.
- Support messages — what you send us when you contact support.
Information collected automatically
- Usage and device data — basic information such as app version, device type and events needed to operate the Service, keep it secure and fix problems.
Information from connections you authorise
- Calendar data — if you connect Google Calendar or Microsoft Outlook, we access the calendar information you authorise so you can capture and organise meetings. You can disconnect at any time.
3. How we use your data
- To transcribe recordings and label speakers.
- To generate summaries with decisions and action items.
- To answer your “Ask AI” questions with links to the moment.
- To build to-do lists and enable search across your recordings.
- To sync your content across iOS and the web.
- To provide support, keep the Service secure, and prevent abuse.
- To process payments and manage subscriptions.
- To comply with legal obligations.
4. AI subprocessors
To deliver these features, we share the content needed for the task with trusted third-party AI providers that process it on our behalf:
- Deepgram — converts speech to text (transcription).
- Anthropic — generates summaries and “Ask AI” answers.
- Voyage — powers search across your recordings.
These providers process your content to deliver the features you use and are not permitted to use it for their own unrelated purposes. We may also use service providers for hosting, storage, analytics and payments. We keep a current list and can provide more detail on request at support@summaryapp.world.
5. Legal bases for processing
Where the GDPR or similar laws apply, we process your data to perform our contract with you (providing the Service), based on your consent (for example, connecting a calendar), to comply with legal obligations, and for our legitimate interests in operating and securing the Service.
6. Sharing and disclosure
We share data only:
- with the subprocessors and service providers described above;
- when required by law, or to protect the rights, safety and security of users, the public or SummaryApp;
- in connection with a merger, acquisition or sale of assets, in which case we’ll let you know; and
- with your consent or at your direction.
We do not sell your personal information.
7. Data retention and deletion
We keep your content for as long as your account is active or as needed to provide the Service. You can delete any recording — along with its transcript and summary — at any time, and you can delete your whole account. When you delete content or close your account, we remove it from the Service and request deletion by our processors, except where we must keep limited records to meet legal, tax or security obligations. Backups are purged on a rolling schedule.
8. Recording consent
SummaryApp is a tool for recordings you are allowed to make. You are responsible for obtaining consent to record where the law requires it. Please make sure participants are informed when that is required in your jurisdiction.
9. Your rights and choices
Depending on where you live, you may have the right to access, correct, export or delete your personal data, to object to or restrict certain processing, and to withdraw consent. You can manage and delete your content in the app, and you can exercise other rights by emailing support@summaryapp.world. You also have the right to complain to your local data-protection authority.
10. Security
We use technical and organisational measures — including encryption in transit and access controls — to protect your data. No system is perfectly secure, but we work to protect your information and to respond promptly to any incident.
11. International transfers
Your data may be processed in countries other than your own, including by our subprocessors. Where required, we use appropriate safeguards such as standard contractual clauses for these transfers.
12. Children
SummaryApp is not intended for children under 16 (or the age of digital consent in your country, if higher). We do not knowingly collect data from children below that age.
13. Cookies and analytics
On the web, we use essential cookies to keep you signed in and to operate the site, and limited analytics to understand usage and improve the Service. Where required, we ask for your consent to non-essential cookies and you can decline.
14. Changes to this policy
We may update this policy as the Service evolves. We’ll update the date above and, for material changes, provide additional notice where appropriate.
